Job Description


Job Title: Executive / Senior Executive – Administration & Facility ManagementKey ResponsibilitiesFinancial & Budget ManagementAct as end-to-end process owner for allocated administrative and facility services. Prepare budget projections and ensure timely allocation of funds from the Finance Department. Handle PR (Purchase Requisitions) and PO (Purchase Orders) creation. Scrutinize, verify, and process vendor bills for timely payment. Monitor budget utilization against actual services delivered. Facility & Vendor ManagementManage contracts and service quality for: Hotels and Guest House bookings. Hired drivers and cabs. Housekeeping services & machine repairs. Pest control services. Yard management & trolley repairs. Courier services. Furniture repair & maintenance. Tents, decoration, and photography for plant events/functions. International ticketing & foreign exchange arrangements for business travel. Employee Support & Travel AssistanceFacilitate onboarding support for new joiners or transferred employees, including stay and transport arrangements during their initial 14 days. Assist plant employees with domestic & international travel reservations, ticketing, and related logistics. Compliance & Process ExcellenceEnsure adherence to company policies, vendor compliance, and service-level agreements. Work on cost optimization, process improvements, and automation initiatives to enhance service efficiency. Provide regular updates/reports to management on expenses, vendor performance, and service status. Qualifications & CompetenciesGraduate / Postgraduate in Administration, Facility Management, or Business Management. 3–6 years of relevant experience in administration, facility services, or vendor management. Proficiency in MS Office, SAP/ERP systems (for PR/PO handling and bill tracking). Strong coordination, negotiation, and vendor management skills. Excellent communication, multitasking, and problem-solving abilities.
